Procedure for Appointing a Vice-Provost, Graduate and Postdoctoral Studies

Given the nature of this position, and in keeping with the appointmentprocesses for associate vice-presidents and deans, the following hybridprocessto appoint a Vice-Provost, Graduate and Postdoctoral Studies is proposed.

1. Establishment of a Selection Committee

The Vice-President, Academic and Provost establishes a Selection Committee consisting of nine (9) members, including:

  • The Vice-President, Academic and Provost, who will chair the Selection Committee
  • Two deans, one from the sciences and one from the humanities;
  • Two senior managers in charge of graduate studies from each academic unit, one fromthe sciences and one fromthe humanities
  • A representative from the Office of the Vice-President, Research;
  • Two graduatestudents, one from the sciences and one from the humanities;
  • Two elected members of the Senate.

The Selection Committee's deliberationsare strictly confidential.

2. Call for applications or posting

The chair of the Selection Committee invites applications for the position through external advertising, calls for nominations or applications, or any suitable combination of thesemethods. Selection Committee members may also suggest a candidate, as long as the individual in question agrees to be consideredfor the position. The chair may also engage the services of a recruiting firm if necessary.

3. Interview and selection process

The Selection Committeedraws up a list of candidates for final considerationand conducts interviews. One to three candidates are short listedand presented to the vice-deans of graduate studies and to the deans, who are then asked to send their comments to the Selection Committee.

Once references have been checked. the Vice-President, Academic and Provost submits the Selection Committee's recommendation for approval.

4. Administration Committee approval

Members of the Executive Committee of the Senateare canvassed regarding the proposed candidate.

After consultingthe Executive Committee of the Senate, the Administration Committee gives final approvalbased on the Selection Committee's recommendation.

5. Term of Office

The term is normallyfive (5) years.
